Email signatures

Summary

Prodoc supports HTML format email signatures from version 3.36.  This allows for typical email signature blocks with logos and font styles to be used without the need for an external mail client.


When configured, your mail signature will be added to the bottom of any emails you send from the Prodoc application.  Emails sent by the Prodoc EDI Service will not use your email signature.



Configuring your signature

You can set up your email signature in Edit > System Configuration > User Details, choosing the Email Settings tab.


When editing your signature you can expand the editor by clicking the expand icon above and to the right of the signature box.



The editor has various text editing tools, and you can switch views between Design, which shows the HTML output and Source which shows the HTML code.


Using the signature editor

The HTML signature editor offers a number of tools for font size/colour/style and alignment.



These work as with any common text editor - highlight the text to alter and then use the various buttons to apply styles.


Below is an example using just the editor.  Note that this includes a <hr> Horizontal Line tag that was added using the Source view to draw a line under the job title.



Pasting a signature

Assuming you have an email signature already set up elsewhere you can simply paste this into Prodoc.


Pasting from Outlook (New)

If you are using Microsoft Outlook and have the 'new' Outlook option turned on then you should be able to copy and paste your email signature into Prodoc. Simply select the whole signature and use Ctrl + C to copy and then in the Prodoc signature editor use Ctrl + V to paste, then click OK.


Copy/Paste from Outlook Classic is not fully supported as any images/logos will be lost and formatting may be incorrect.  You may be able to use your Outlook Classic signature if you first Copy + Paste it into MS OneNote and then copy again into Prodoc, but this may cause some odd formatting.


Pasting a HTML signature

If your organisation can provide a HTML format signature then you can switch to the Source view, remove anything that is currently present and then paste the full HTML code provided by your organisation.  When you switch back to Design view you should see your signature complete with all formatting.


Sending email

The Prodoc Mail window now also offers the same toolbar as the signature editor, allowing you to change fonts prior to sending your email.



Your signature will be shown at the bottom of the email window.


Email message setup (Prodoc Administration)

If Prodoc users have added email signatures then it may be necessary to alter the existing Email Message configuration in Prodoc to prevent duplication.


By default. Prodoc emails include a basic signature block on emails.  This should be removed if using per-user signatures.



In the Prodoc Administration module, choose the Email Messages function to review and edit the message setup.  You can review each email type by selecting the name on the left of the window, and edit the text in the Email Message box in the middle.


NOTE: do not change the configuration for the email type "EDI Message Body" as this is used by Prodoc for some external communciations.
